User Profile

The User Profile is accessed by clicking anywhere in the User Profile area in the Global Navigation bar. When the User Profile area is expanded, you can view a list of all roles assigned to you under My Roles. The current business role is displayed under the User Name. You can switch to a different role by selecting the role from the list. You can log out of Advantage by selecting the Sign Out link and you can modify personal user settings by selecting the Account Settings link, which transitions you to the Account Settings page. 

Account Settings

The Account Settings page is divided into the following tabs:

Personal InformationPersonal Information

The Personal Information tab displays the user's name, email, and contact information. You must contact a site administrator to change any of this information.

Password ManagementPassword Management

The Password Management tab allows users to change their Advantage password.

To update your password:

  1. Enter your current password in the Current Password field.

  2. Enter your new password in the New Password and Confirm Password fields.

  3. Select Save to apply the change.

Note: If the DISABLE_SELF_PASSWORD_RESET parameter on the ERP Application Parameter (ERPCTRL) page is set to true, the Password Management tab will not be available.

Show/Hide Password FunctionalityShow/Hide Password Functionality

Users can toggle password visibility using the eye icon in the password field. This feature is governed by the ENABLE_SHOW_PASSWORD_ICON parameter on the ERP Application Parameter (ERPCTRL) page:

  • When set to true, the eye icon appears, which allows users to view the entered password.

  • When set to false, the icon is hidden and the password remains masked (that is, the eye icon is not displayed).

Caps Lock Warning: A warning is displayed when a password field receives focus and Caps Lock is enabled. This feature helps prevent unintended input errors.

Security Question ManagementSecurity Question Management

The Security Question Management tab enables users to set up a security question and answer. This information is used to verify your identity if you forget your password or are locked out of the system. 

To save your settings:

  1. Enter your security question and a corresponding answer.

  2. Select Save to confirm your changes. 

The security answer field allows a maximum of 30 characters.

PreferencesPreferences

The Preferences tab allows you to modify your usability preference settings. Select Save to save your changes to this tab. Any changes made to the flags in this section will take effect after you log out and log back in:

  • Enable Auto Tabbing – This flag allows you to specify your usability preference setting for tabbing. If the Enable Auto Tabbing check box is selected, then you can skip icons, such as the calendar icon and the pick list icon, while tabbing. Once you save the preference, it stays until you change it. This feature is applicable across all transactions and pages in Advantage.

  • Minimize Information Tabs – This behavior allows you to specify whether you want the information area for all tabs to be minimized or expanded. When minimized, only the first line of information is displayed (including the attachment count, if any). When you expand the tab information for a page, then the change will remain for that page until you log out. Similarly, when you collapse the tab information for a page, then the change will remain for that page until you log out.

  • Hide Toolbar and Pagination – If you choose to show the toolbar and pagination area of a read only grid for a page, then the change will remain for that grid until you log out. Similarly, if you choose to hide the toolbar and pagination area of a read only grid for a page, then the change will remain for that grid until you log out. This feature is not available for widgets or grids accessed via a Switcher.

  • Enable Field DB Help – If your site has enabled the Field DB Information feature by setting the ENABLE_FIELD_DB_HELP parameter on the ERP Application Parameters (ERPCTRL) page to true, then users have the option to enable or disable this feature via the Enable Field DB Help check box. If ENABLE_FIELD_DB_HELP is true and you have selected the Enable Field DB Help check box, then you will see a dotted underline on the caption of all fields in the application that support this feature. When you hover over the field title the system will display a pop-up containing the field’s database information. Refer to the “View Field Database Information” topic in the CGI Advantage System Administration Guide for more information and limitations.

  • Enable Recent Searches for Global Search – If your site has enabled the ENABLE_ADVANCED_GLOBAL_SEARCH parameter on the ERP Application parameter (ERPCTRL) page (that is, set to true), users have access to the Enable Recent Searches for Global Search preference. This preference is available as a check box that users can select or deselect to control the visibility of recent searches.

By default, the Enable Recent Searches for Global Search check box is cleared (false). When selected, a Recent Searches section appears in the Global Search drop-down. This section displays the user’s five most recent search terms, allowing for quick re-access to prior queries.

  • Expand All Rows – If your site has enabled the ENABLE_EXPAND_COLLAPSE_ALL parameter on the ERP Application Parameters (ERPCTRL) page (that is, set to true), users can choose the default behavior of the Expand or Collapse All feature via the Expand All Rows check box. The default behavior for the Expand/Collapse icon is collapsed. Users can change the default to expanded by selecting the Expand All Rows check box. 

  • Currently, this feature is only supported on the TIMEI transaction and only available when the grid contains data and supports row expansion. 

  • When the Expand All Rows check box is selected, all rows on all pages of the grid will be expanded by default. If a user collapses records on one page of the grid, navigating to a different page requires the user to collapse records on that page of the grid, since the user has selected the Expand All Rows check box. 

  • When the Expand All Rows check box is not selected and the ENABLE_EXPAND_COLLAPSE_ALL parameter is true, then all rows are collapsed by default. Selecting the Expand All icon on the grid expands all rows on the current page only. Navigating to a different page requires the user to reselect Expand All to view expanded rows on that page.

  • On the TIMEI tab, users can enter many records, which are displayed with pagination options of 20, 50, or 500 records per page. Each page includes global Collapse All and Expand All controls that toggle the visibility of all records on that page simultaneously. Users may also individually expand or collapse specific records to show or hide details as needed.

  • Performance Consideration: When increasing the number of records per page beyond 50, users may experience performance issues due to the large volume of data rendered simultaneously.
     

Manage NotificationsManage Notifications

The Manage Notifications tab allows you to change your Alert Email Notification setting, Alert SMS Notification setting, Workflow Email Notifications setting, Phone Number, and your Email Address for receiving the notifications. The Alert Email Notification and Alert SMS Notification feature provides the ability for you to receive an email and SMS respectively, when an alert is sent in Advantage. Select Save to save your changes to this tab. The Workflow Email Notifications feature provides the ability for the user to choose whether to receive the Workflow email notifications or not.

Business Roles Preferences Business Roles Preferences

The Business Roles Preferences tab allows you to select your primary Business Role. Out of the Business Roles assigned to you, select the drop-down value as Yes in the Primary field for the Business Role that you want to keep the default. Once selected, select Save to apply the changes. The next time you login to the application, the selected Business Role will load as the default. You also have the flexibility to display the other assigned Business Roles in the display order of your choice. Please provide a numeric and chronological display order per your need to the assigned Business Roles. This tab can be accessed at any given time to update your primary Business Role and display orders.

Dual Factor AuthenticationDual Factor Authentication

The Dual Factor Authentication tab allows you to select the default Authentication type based on options set up in the ADV30Param.ini file. The valid values are Email, Phone, and Google Authenticator. 

If the sites supports app-based (Google) authentication, the Activate button will be visible. You can register your account with the Google Authenticator app by clicking on the Activate button and following the instructions on the screens. Once Google Authenticator is activated, the button will be renamed to Re-Activate, and Authentication type will be included as an option in the drop-down menu for authenticator types. 

The Dual Factor Authentication tab will only be visible if the site has enabled Dual Factor Authentication in ADV30Param.ini.

When DFA is enabled in the ADV30Params.ini configuration file, users are redirected to the DFA verification screen after successfully entering their User ID and Password during the login process. This screen allows users to select from the configured authentication methods, which can include Email, Phone, Google Authenticator, or all of the above.

If a phone number is provided, the "Phone" option will be available. Selecting this option triggers an SMS containing the access code. If the site supports app-based authentication, the "Google Authenticator" option will appear. A link labeled “Activate Now” will also be displayed, which leads users to the setup instructions for Google Authenticator (refer to the “Setting up Authentication with Google Authenticator" section in the Dual-Factor Authentication Configuration Guide).

Once DFA is enabled and the User ID and password are authenticated on the Login page, the system navigates users to a screen where they can choose their preferred method for receiving the verification token. If no preference is selected, the default option is used.

If the "Google Authenticator" option is chosen and configured, the user will receive a prompt to open the Google Authenticator app on their device. The system will provide a time-sensitive code within the app, which the user must enter into the Access Code field on the Sign-In Verification page. Once the correct code is entered, the user can click Verify to complete the login process.

For email or phone verification, a token is sent to the registered email or phone number, and the Access Code field will appear, prompting the user to enter the received token.

A countdown timer is displayed beneath the Access Code field for email/phone options. The token must be entered before the timer reaches 0:00. The Resend button can be used to send a new token to the email or phone number selected earlier.

For Google Authenticator, however, there is no timer, codes are valid for a limited time (typically 30 seconds) before they expire, and the user must enter a new code if the current one expires. After entering the correct code from the Google Authenticator app, the user clicks the Verify button to complete the login process.

Note: If the token is invalid or expired, the system will prevent the user from logging in. In this case, the user must click the Resend button on the validation screen to receive a new token for email/phone. For Google Authenticator, the user must fetch a new code from the app if the current code has expired.

Note:

Informational text messages can be optionally added on all tabs in the Account Settings page. Informational text can be used to explain a setting or provide additional context to users.

The text for each tab can be configured on the Configurable Text (CTEXT) page using the following CTEXT codes. 

  • Personal Information (code: ACTINFO)

  • Password Management (code: ACTPWD)

  • Security Question Management (code: ACTSQM)

  • Preferences (code: ACTPREF)

  • Manage Notifications (code: ACTALRT)

  • Business Role Preferences (code: ACTBR)

  • Dual Factor Authentication (code: AUTHACTV)

Once updated, the system will automatically display the configurable text whenever the user navigates to the Account Settings page the next time.
