If data is missing from the Form Reporting pages (such as F1099M, F1098T, or F1042S), follow these steps to troubleshoot:

  1. Verify file generation

Ensure that the following files have been generated in the Export/Import location:

  • payer.txt

  • payee.txt

  • 1099.txt, 1098.txt, and 1042.txt (dependent on the form type)

  1. Check file content

Open the text files and confirm that they contain the expected data. Missing or incomplete data in these files will result in missing records on the Form Reporting pages. User can verify the data on the below pages to verify:

  • The payee, payer data, and reported income amounts on the 1099 Reported Income (1099R) page.

  • The payee, payer data, and reported income amounts on the 1099 External Reported Income (1099ER) page.

  • Reported income amounts are above threshold based on the configuration on the 1099 Type of Income (TINC) page and Compare Threshold parameter is set to ‘1’ while running the Offline 1099 batch process

  1. Confirm XML conversion

Ensure that the text files have been successfully converted into XML format. Then, verify that the XML files contain the correct data.

  1. Review job logs

Examine the logs of the Forms Table Load Chain job for any exceptions, errors, or warnings that could indicate issues during the data load process.

If Automated Disbursement (AD), Electronic Funds Transfer (EFT), or Manual Disbursement (MD) transactions do not appear on J1099 after submission, they may not have been posted (verify the Journal Posting field on the Posting Line). If they have not been posted, follow these steps to post them to J1099:

  1. Run the Journal Posting Initiator job

This job initiates the process of posting journal entries for the submitted transactions. Once completed, it sets the Journal Posting field to Ready to Post.

  1. Run the Journal Engine job

After the initiator job, the Journal Engine processes and posts the transactions to J1099. It also updates the Journal Posting field to Posted.

These two jobs must be executed in sequence to ensure that the transactions are properly recorded on the 1099 Reporting Journal.

  • Only records marked as Current Record = 'Yes' are printed.

Choose a 1099 Income Code to associate the element with a form and type of income.

  • Balance Sheet Account (BSA)

  • Sub-Balance Sheet Account (Sub-BSA)

  1. Valid vendor classification

The vendor’s classification help determine if an income is reportable. The vendor’s VCUST record must include:

  • Organization Type

  • 1099 Classification

  • TIN Type

This combination must have a corresponding 1099 Reporting Classification, for example, Individual or Corporation, defined on the Valid Vendor Organization and 1099 Reporting Classification (VORGCL) page.

  1. Reportable Type of Income

  • The Type of Income, such as Rental Income, must be reportable for the vendor’s VORGCL 1099 Reporting Classification on the 1099 Type of Income (TINC) page. The classification like Individual is reportable if the indication is selected for the record.

  • If the classification is Corporation and the Incorporation indication is selected, the income type is reportable only if the Always 1099 Reportable field is checked for the associated Object, Sub-Object, BSA, or Sub-BSA.

The transaction uses a reportable accounting element. To be reportable, at least one of the  below accounting elements must be associated with a 1042-S type of income in the 1099/1042-S Information section. Choose a 1042-S Income Code to associate the element a type of income:

Yes, CGI monitors updates for all supported tax forms and revises the 1099 and 1042-S forms to align with the latest IRS specifications for the current calendar year and also supports prior years.

Is it required to have entries on the 1099/1042-S Date and Transaction Parameters (1099D) table for a specific calendar year?Is it required to have entries on the 1099/1042-S Date and Transaction Parameters (1099D) table for a specific calendar year?

No. While it is not mandatory to include entries for Automated Disbursement (AD), Electronic Fund Transfer (EFT), and Manual Disbursement (MD) in the 1099D table, it is recommended. It allows the process to select transactions based on different dates ranges (Record Date, Acceptance Date, Check/EFT Issue Date). For example, while the calendar year ends on December 31st, it allows the process to select disbursement transactions that have been expended in the prior calendar year but issued in the next calendar year. Your site may choose to create an entry for AD transactions to select Check/EFT Issue Date through the 5th of the next calendar year.

If an entry exists for one transaction code (for example, AD) with a defined date range, the Offline 1099 Process still picks up all applicable 1099 Reporting Journal (J1099) records for other transaction types (such as EFT and MD) for the entire Calendar Year based on Record Date. The process does not exclude records simply because their transaction codes are not explicitly listed in the 1099D table.

Yes, CGI provides Tax Form Field Box Cross Reference (TAXBXRF) entries for the specific calendar year to ensure accurate mapping of tax form fields, which are used to generate IRS transmittal files. This is helpful when income boxes are moved, changed, or removed from tax forms between years.

What if I don’t have a TIN for a taxpayer and I need to issue them a 1099 form? If a vendor does not have a valid TIN but a 1099 form needs to be issued, you can assign them a temporary TIN by selecting the Temporary TIN indication on 1099I. The use of the temporary TIN allows the vendor to be assigned a TIN in Advantage whether alpha-numeric or numeric. Their income will be tracked by the temporary TIN. When the Offline 1099 Process is executed, their income will be loaded into the 1099 Reported Income (1099R) page and processed through the tax reporting process. However, the temporary TIN will be removed when the form is printed and transmitted to the IRS; they will be reported to the IRS without a TIN.

Finalized versions of the 1099 Maintenance transaction cannot be modified or cancelled. To make additional updates to the 1099R record, a new M1099 transaction must be created with the Line Action of Modify.

The TIN Masking advisory from the IRS is not mandatory, and therefore the error message severity is set to warning.
