New Hire Calendar Date

The New Hire Calendar Date (NEWHCLDT) page is used by the New Hire Enrollment process. On this page, an Administrator can assign different effective dates and Enrollment Date for separate periods of time for any Employee-eligible benefit. This page is useful for situations where groups of new hires (hired within a specified period) should all become eligible for a benefit at the same time.

The fields on the NEWHCLDT should be defined as follows for a given Benefits Type Class / From date combination:

Benefit Policy

The identification code associated with the deduction policy.

BNRL Dates Options

This field contains following options for setting the BNRL From Date for the employee enrollments via the New Hire Enrollment option of the Benefits Enrollment wizard. This is a mandatory field. The following valid values can be selected:

  • New Hire Calendar Date - This is a default value. When selected, the BNRL From Date specified on the New Hire Calendar Date record is retrieved as the payroll effective date of the benefit when enrolled.

  • Last Day of the Employee's Hire Month - When selected, the BNRL From Date is equal to the last date of the employee’s appointment month.

  • 1st of the Month on or following the Date of Hire - When selected, the BNRL From Date is equal to the first of the month on or following the employee’s appointment date.

  • First Date of the Pay Period the 31st Date of Employment Falls in - When selected, the BNRL From Date would be the first date of the biweekly the 31st date of employment falls in.

  • First Date of the Pay Period where the Coverage is before the Check Date - When selected, the BNRL From Date is first date of the pay period where the Coverage Start Date is falls before the pay period Check Date.

  • Last Date of the Pay Period where Coverage Date is before the Check Date - When selected, the BNRL From Date is last date of the previous month pay period that is 15th of the previous month when the check date is within or equal to 15th of the current cycle whereas the Coverage Start Date is Pay Period Start Date else BNRL From Date is [(day 1 of the previous month minus 1 day) when compare to Coverage Date] where check date is any date greater than 15th of the current cycle..

BNRL From Date

This field establishes the payroll effective date of the benefit when enrolled.

BNRL To Date

This field establishes the payroll expiration date of the benefit when enrolled.

Coverage Date Options

This field contains the following options for setting the coverage start(effective) date for the employee enrollments via the New Hire Enrollment option of the Benefits Enrollment wizard. This is a mandatory field. The following valid values can be selected:

  • New Hire Calendar Date - This is a default value. When selected, the Enrollment Start Date specified on the New Hire Calendar Date record is retrieved as the benefit coverage begin date of the benefit when enrolled.

  • 1st of the Month following the Date of Hire - When selected, the Enrollment Start Date is equal to the first of the month following the employee’s appointment date.

  • 1st of the Month on or following the Date of Hire - When selected, the Enrollment Start Date is equal to the first of the month on or following the employee’s appointment date.

  • 31st Date of Employment - When selected, the Enrollment Start Date is the 31st date of employment.

  • Hire Date - When selected, the Enrollment Start Date is first of the month following 30 days of employment.

Department

The identification code associated with the department. This field is required. Wildcards (*****) are used to indicate a universal policy for either Department or Benefits Policy. For example, if a Deduction Policy had the same open enrollment for all departments, make only one entry using ‘*****’ as the department value.

Enrollment End Date

This field establishes the date when the coverage ends for the benefit. If this field is not populated the system uses the BNRL To Date value.

Enrollment Start Date

This field serves the following purposes:

  • This field establishes when the benefit coverage begins (effective) date.  If this field value is not populated, the system uses the BNRL From Date.

  • This field is also used to calculate the prior benefit’s coverage end date. If this benefit is to replace an existing benefit, then the existing benefit’s coverage end date is set to one day before this benefit’s Enrollment Start Date.

  • For Leave Bank enrollment, this field represents the employee’s date of enrollment in the Leave Bank.

From

This field specifies the first date for which the New Hire Calendar Date entry is in effect.

Positive New Hire Enrollment

When Positive Enrollment is activated for a particular employee’s benefits policy and department, employees participating in New Hire enrollment must enroll or waive each benefit available in the Enrollment Wizard before proceeding.

To

This field specifies the last date for which the New Hire Calendar Date entry is in effect.
