Email Templates

Email Templates are form messages with variables that can be populated by the Email Agent. A Template consists of a Template code, the five-character name by which the Template is referenced, a description, and the message text. The text can contain a variety of variables, including first name, full name, address, start date, end date, deadline date, and three custom parameters. These variables (called Plug-Ins) are generally populated by the process that creates the Email Trigger or message, with the exception of employee-specific Plug-Ins such as Name, First Name, and Address. These are populated at processing time by the Email Agent so that each message is personalized for the employee-recipient.

For example, if employee John Doe’s Open Enrollment period starts on December 1, 2016, and ends on December 14, 2016, this information could be populated in a Template message. For the following template:

Dear %f,

It is time to enroll in benefits for 2017! Please be aware that your Open enrollment period begins on %d1, and ends on %d2. Log into Employee Self-Service and sign up for benefits before 10pm on %d2.

Thank you,

Your HR Staff

 

Larry would receive a message that looks like this:

Dear Larry,

It is time to enroll in benefits for 2007! Please be aware that your Open enrollment period begins on December 1, 2016, and ends on December 14, 2016. Log into Employee Self-Service and sign up for benefits before 10pm on December 14, 2016.
