Employee Short Term Disability (EMSTD)

The Employee Short Term Disability (EMSTD) transaction is used to maintain Short Term Disability information. The transaction has effective and expiration dates, and when modifying existing Short Term Disability information, the system carries forward the current information.

Employee Information tab

Field Name	Field Description
Employee ID	Enter the Employee ID for the employee.
Claim Number	Enter the Claim Number associated with the incident.
Disability From Date	Enter the first day the employee is unable to work due to the disability. The entered date must not fall between any other Short-Term Disability record’s Benefit Start Date to Benefit Through Date for the employee for a different claim.
Disability To Date	Enter the last day of the disability. This is the day before employee returns to work. The date entered must be greater than the Disability Start Date. The date entered must not fall between any other EMSTD records’ Benefit Start Date to Benefit Through Date for a different claim or the Compensability Start and Through Date.
Entry Date	This field displays the date the claim was originally entered in the system. This is display only auto-populates with the system date. This field is not updated when the EMSTD transaction is modified.
Comments	Enter any additional information for this claim.
Retro Supplemental	Identifies whether the retroactive pay will be processed in either a supplemental or regular payroll cycle. If checked, retroactive Short-Term Disability and/or Mega Industrial Accident pay is marked to be processed in a supplemental payroll. If left blank, the system processes the retroactive Short-Term Disability and/or Mega Industrial Accident pay through the next regular payroll cycle.
From	Enter the date this information becomes effective.
To	Enter the last date for which this information is effective.

Short Term Disability tab

Field Name	Field Description
Short Term Disability Event Type	Enter the appropriate Short Term Disability event. This field can be left blank for Mega Industrial Accident only (if Coordination of Benefits check box iscleard AND Compensability Start Date is populated.). This field is required for Short Term Disability only and Short-Term Disability/Mega Industrial Accident Coordination of Benefits (if Coordination of Benefits check box is checked OR Coordination of Benefits check box is cleared and Compensability Start Date is not populated.)
Benefit Rate	The Pay Type Factor Amount on Pay Policy Event Type (PPET) for the pay event associated with the entered Short Term Disability Event Type will be inferred.
FMLA Event Type	Enter the appropriate FMLA event. If the Compensability Start Date is populated, the FMLA Event Type field cannot be populated.
Recurrent Disability	This is a check box that will identify the EMSTD transaction submitted is for a recurrent disability. Only the Recurrent Disability or the Extended Disability check box can be checked at any given time. Both check boxes cannot be checked at the same time. This check box can only be checked if the Denial Period From Date is populated, a Denial Code is entered that is identified as Return to Work on the Denial Reason Code tab and the Denial Period Through Date is equal to 29 days or less than the Denial Period From Date. If this check box is checked, then the Waiting Period From Date and Waiting Period Through Date can be left blank.
Extended Disability	This check box identifies that the EMSTD transaction submitted is for an extended disability which an employee incurred from a separate and unrelated cause. Only the Recurrent Disability or the Extended Disability check box can be checked at any given time. This check box is for informational purposes only. No processing is driven off of this field. If this check box is set to selected, then the Waiting Period From Date and Waiting Period Through Date can be left blank.
Waiting Period From Date	Enter the beginning date for the waiting period. The entered date must be greater than or equal to the Disability Start Date and less than or equal to the Waiting Period Through Date. This is a required field if the Short-Term Disability Event Type is populated. If the Recurrent Disability, Extended Disability, or the Coordination of Benefits check box is checked, then the Waiting Period From Date can be left blank.
Waiting Period To Date	Enter the last day of the waiting period. The entered date must be greater than or equal to Waiting Period From Date and greater than or equal to the Disability Start Date. This is a required field if the Short-Term Disability Event Type is populated. If the Recurrent Disability, Extended Disability, or the Coordination of Benefits check box is checked, then the Waiting Period From Date can be left blank.
Benefit From Date	Enter the beginning date for the benefit associated with the entered claim. The entered date must be greater than the Disability Start Date. The date entered must be greater than the Waiting Period Through Date. (This ensures that the employee has satisfied the waiting period before receiving Short Term Disability compensation.) If the Coordination of Benefits check box is checked, this date must equal the Compensability Start Date (under the Mega Industrial Accident information tab). The entered date must be less than the employee’s Termination Date, if the employee is terminated. Employees will be considered Terminated when the Count in Workforce flag on EMPS is cleared for the assignment record that is effective as of the From Date of the EMSTD transaction being processed. The entered date must not fall between other Short Term Disability benefit periods (Benefit Start Date to Benefit Through Date) for this record or Short-Term Disability records for the employee. If the Short-Term Disability Event Type is entered, this date is required.
Benefit To Date	Enter the last day of the benefit associated with the entered claim. The entered date must be greater than the Benefit Start Date. The entered date must be less than or equal to the Disability Through Date and less than the employee’s Termination Date, if the employee is terminated. If the Coordination of Benefits check box is checked, this date must equal the Compensability Through Date (under the Mega Industrial Accident Information tab). The entered date must not fall between other Short Term Disability benefit periods (Benefit Start Date to Benefit Through Date) for this record or Short-Term Disability records for the employee for the same claim, unless the Coordination of Benefits check box is checked.
Step Down Event Type	Enter the appropriate Step-Down Short-Term Disability Event Type that should be pre-populated on the auto-generated future dated EMSTD transaction. If the Benefit Rate entered matches any values stored on the Short-Term Disability Settings (STRDS) page, Short Term Disability Step Down Event Type is required.
Step Down Benefit Rate	The Pay Type Factor Amount on PPET for the pay event associated with the entered Step-Down Event Type will be inferred.
Step Down Benefit from Date	Enter the benefit Start date and the From date for the Step-Down EMSTD transaction. This date must be greater than the Benefit Through Date of the current EMSTD transaction being entered. If Short Term Disability Step Down Event Type is populated, then this field is required.
Step Down Benefit To Date	Enter the last day of the benefit for the Step Down EMSTD transaction. This date must be greater than or equal to the Step-Down Benefit Start Date. If this date is left blank the day prior to the current pay period start date will be considered as benefit through date.
Short Term Disability Third Party Administrator	Enter the name of the Short-Term Disability Third Party Administrator.
Phone Number	Enter the contact number for the Short-Term Disability Third Party Administrator.
Extension	Enter the Phone Number Extension.
Notification Date	Enter the date the employee was notified by the Third-Party Administrator.

Mega Industrial Accident Information tab

Field Name	Field Description
Coordination of Benefits	Indicates that an employee is receiving both Mega Industrial Accident and Short-Term Disability benefits.
Event Type - Current	This field is used for Mega Industrial Accident only and Coordination of Benefits claims.
Event Type - Current Benefit Rate	The Pay Type Factor Amount on PPET for the pay event associated with the entered Mega Industrial Accident Event Type - Current will be inferred.
Event Type - Off Day	Enter the Event Type for Off Day.
Event Type - Off Day Benefit Rate	The Pay Type Factor Amount on PPET for the pay event associated with the entered Mega IA Event Type - Off Day will be inferred.
Mega IA Off Day Hours	Enter the standard off day hours for Mega Industrial Accident. If the Compensability Start Date is populated, this field is required.
Reversing FMLA Event Type	Enter the FMLA event type to be reversed when Timesheet Adjustments (TADJs) are being created to add Mega Industrial Accident to previously processed pay periods.
Short Term Disability Event Type – Off Day	This is inferred from the STRDS ‘Short Term Disability Event Type - Off Day’ field if the Compensability Start Date is populated and Coordination of Benefits check box is checked.
Short Term Disability Event Type - Off Day Benefit Rate	The Pay Type Factor Amount on PPET for the pay event associated with the entered Short Term Disability Event Type - Off Day will be inferred.
Temporary Disability Weekly Amount	Enter the amount that is provided on the voucher received from the Third-Party Administrator. If the Compensability Start Date is populated, this field is required.
Waiting Period From Date	Enter the beginning date for the Mega Industrial Accident Waiting Period. The date entered must be greater than or equal to the Disability Start Date.
Waiting Period To Date	Enter the last day of the waiting period.
Compensability from Date	Enter the date that the Mega Industrial Accident benefit should begin. This field is required if the Coordination of Benefits check box is checked or Short-Term Disability Event Type is blank (Mega Industrial Accident only). This date must be greater than the Mega Industrial Accident Waiting Period Through Date if it is populated. This date must be greater than or equal to the Disability Start Date.
Compensability To Date	Enter the last day of the Mega Industrial Accident benefit.
13-Day Pay Period Factor	Enter the factor amount that corresponds to Industrial Accident for a 13-day pay period. This Factor Amount is used to determine the employee’s Mega Industrial Accident and Short-Term Disability hours. If the Compensability Start Date is populated, this field is required.
14-Day Pay Period Factor	Enter the factor amount that corresponds to Industrial Accident for a 14-day pay period. This Factor Amount is used to determine the employee’s Mega Industrial Accident and Short-Term Disability hours. If the Compensability Start Date is populated, this field is required.
15-Day Pay Period Factor	Enter the factor amount that corresponds to Industrial Accident for a 15-day pay period. This Factor Amount determines the employee’s Mega Industrial Accident and Short-Term Disability hours. If the Compensability Start Date is populated, this field is required.
16-Day Pay Period Factor	Enter the factor amount that corresponds to Industrial Accident for a 16-day pay period. This Factor Amount determines the employee’s Mega Industrial Accident and Short-Term Disability hours. If the Compensability Start Date is populated, this field is required.
Mega IA 70% Event Type - Retro	Enter the Mega Industrial Accident Event Type that the retro adjustments should be posted to if the original leave benefit amount has a PPET factor that is greater than or equal to 0.00 and less than or equal to 0.70.
Mega IA 70% Event Type Off Day - Retro	Enter the Mega Industrial Accident Off Day Event Type that the retro adjustments should be posted to on an Off Day if the nearest Work Day’s original leave benefit amount has a PPET factor that is greater than or equal to 0.00 and less than or equal to 0.70.
Mega IA 100% Event Type - Retro	Enter the Mega Industrial Accident Event Type that the retro adjustments should be posted to if the original leave benefit entered generates a pay event that has a PPET factor that is equal to 1.00.
Mega IA 100% Event Type Off Day - Retro	Enter the Mega Industrial Accident Off Day Event Type that the retro adjustments should be posted to on an Off Day if the nearest Work Day’s original leave benefit entered generates a pay event that has a PPET factor that is equal to 1.00.
Retro 100% Factor - 13-Day Pay Period	Enter the factor amount that corresponds to a 100% leave benefit for a 13-day pay period. This Factor Amount determines the hours that are backed out during Retro Mega Industrial Accident for leave events that generate pay events with a Pay Type Factor Amount of 1.00 on PPET.
Retro 100% Factor - 14-Day Pay Period	Enter the factor amount that corresponds to a 100% leave benefit for a 14-day pay period. Denial Reason and Part Time Return tab

Field Name	Field Description
Denial Reason Code	Enter the Denial Reason Code for the incident.
Denial Period From Date	Enter the beginning date for the denial period.
Denial Period To Date	Enter the ending date for the denial period. This date is required if the Recurrent Disability check box is checked.
Short Term Disability Part Time Return To Work	If this check box is checked, at least one Part Time Hours field needs to be entered.
Mega Industrial Accident Part Time Return To Work	If this check box is checked, at least one Part Time Hours field needs to be entered.
Part Time Return To Work From Date	Enter the beginning date that the employee is allowed to work part time.
Part Time Return to Work To Date	Enter the last day that the employee is allowed to work part time.
Part Time Days and Hours Sunday Monday Tuesday Wednesday Thursday Friday Saturday	These fields are used to select the days and specify the number of hours for which employees are allowed to use the Short-Term Disability or Mega Industrial Accident pay event.
