Reclassifying Titles
The Advantage HRM application provides the ability to reclassify existing titles into new or existing titles. Reclassification of a title is initiated by creating a new title, or by selecting an existing title and adding prior titles, which will be reclassified into it. In order to accomplish this, the Title page includes a Reclassification Information section. This section includes Prior Title fields, Reclassification Into fields, and Reclassified Date fields.
During reclassification, a title is defined and existing (prior) title(s), which you want to reclassify, are indicated in the Prior Title fields on Title. You have the ability to select valid prior title codes from the Title page. The corresponding short descriptions of those titles are also populated from the Title page, as well as the reclassified From date of the prior title. The system restricts you to select only those prior title codes that will be effective during the time slice indicated for the new title. When the Reclassified Title is saved with Prior Title(s), the To date(s) on the Prior Title(s) are set to one day less than the Reclassified Title’s From date value. Reclassification of a title on Title only impacts the selected title. Any time slices of the Prior Title that have a From date equal to or greater than the Reclassified From date, must be manually managed based on the processing rules of your site.
The reason for the reclassified prior titles must also be indicated. In order to accomplish this, the Title page includes a Comments text box. This memo section can be updated in case of subsequent reclassification, if any.
Whenever a title is accessed on the Title page, an internal query is executed to populate the Reclassified Into and Reclassified Date fields. The query scans all titles on the Title table and checks for the presence of the titled code (the one that is accessed) on prior title fields. Any titles (title codes) that contain the title code which is being searched are populated into the Reclassified Into and Reclassified Date fields. Reclassification information is queried at runtime.
Multiple titles can be reclassified into a single title. The system provides the ability to reclassify a maximum of five prior titles to a new title.
On the other hand, you also have the ability to reclassify a single title into multiple titles. Whenever a single title is reclassified into multiple titles, the system populates only five of the most recent title codes (in descending order by From date). If more than one title code has the same From date, then alphabetical ascending order is used as the second sort order.
Advantage HRM also provides the ability to track one level of title reclassification. Whenever an existing title is reclassified to a new title, the existing (prior) title populates the new title code in the Reclassified Into field. If this new title is reclassified again to a second new title, the prior title does not populate the second new title code in the Reclassified Into field. But in turn, a second new title code is populated in the Reclassified Into field of the first new title. When you access a prior title that has been reclassified into a new title on Title, all title records that have the title being accessed in any of the Prior Title fields are retrieved using the oldest time slice of the reclassified title.
For Example:
Title 99901 (effective from 1/1/2007 to 6/24/2007) is reclassified into Title 5501 (effective from 6/25/2007 to 12/31/2007).
Title 99901 is defined as a Prior Title on Title 5501. Several future time slices are created for the Title 5501 (effective from 1/1/2008 to 12/31/2008; 1/1/2009 to 12/31/2009).
When a search is performed on Title 99901, the following information is displayed: Reclassified Into 1: 5501; Reclassified Date 1: 6/25/2007.
The Reclassified Into title fields are populated with the latest five titles retrieved (in descending order of From Date). The second sort order is the Title Code (in ascending alphabetical order).
