Leave Policy Category (LPCT)

The Leave Policy Category (LPCT) page allows users to configure specific processing information for a category assigned to a specific leave policy. Filtering rules can be established by indicating Home Department, Home Unit, and Union Local. For each category in this page, thresholds for a leave balance are defined for daily, monthly, and annual leave processing and leave actions are specified for each out of bounds condition. The page also indicates the frequency of balance checking for a given category and allows configuration of whether leave balance category alerts should display for Employee and Manager business roles.

Data from the LPCT page can be downloaded into a spreadsheet format by clicking the Download action from the Grid Action menu. Once downloaded, the data can be updated and uploaded back to the LPCT page by selecting Upload from the Grid Action menu . The Download action is available when there is at least one record returned as a result of a browse or search action. When the Download action is selected, all data that was returned as a result of the previous browse or search is selected for download. Once the download is complete the data can be manipulated using the preferred spreadsheet application and can then be uploaded back to the LPCT page, based on the user’s security setup. If the user can add records to the reference table online, then the user is able to upload records to the table. If additional security is desired, the System Maintenance Utility job that is triggered by the Upload action can be configured with Job Security to restrict the Upload action.

Note: If you plan to use the Download action, data in the fields on this page should not contain any special characters, including return characters. When opening the downloaded file, if special characters are present in the reference page record, that particular record might be, for example, split into two records in the downloaded file, and the extra records would have to be manually deleted/modified.

Field InformationField Information

The Leave Policy Category page contains the following fields:

Field Name

Field Description

From

The date this information becomes effective. This field should be entered in mm/dd/ccyy format.

To

The last date for which this information is effective.  The default value for the operating system is 12/31/9999, which indicates the latest available date.

Home Department

The identification code associated with the operating entity for which the employee works.

Home Unit

The identification code associated with the management unit to which the employee reports.

Union Local

The identification code associated with the union local.

Leave Policy

The identification code associated with the leave policy. Leave policies define sets of leave processing rules.

Leave Category

The identification code associated with the category code.

Leave Chart

The identification code associated with the leave chart.

Leave Progression

The code which is used to identify a length of service so that the appropriate rate of leave accrual can be determined on Leave Rate (LPRT) page for employees with automated leave accruals. The usage of leave progression is controlled by Site Specific Parameter (SPAR).

Balance Check Frequency

The identification code that identifies when this leave category is to be checked during leave balance condition checking.

Leave Request Validation

This field allows to users to setup the type of error to be displayed if the requested leave amount on the Employee Leave Request transaction exceeds the current available balance or the minimum threshold amount. The valid values are Error, Warning, and N/A. By default this field is set to N/A.

Balance

This field allows users to define the type of balance that is used to validate the entered amount on the Employee Leave Request document. Valid values are Current Balance, Total Usage and N/A. By default this field is set to N/A.

  • When the Balance field is set to Current Balance, the amount entered for the usage event on the Employee Leave Request transaction is validated against the current available balance, calculated using appropriate Time-to-Gross Application Program Interface (API), which is displayed as Balance in the Employee Leave Balance tab of the Leave Management (LEAVM) activity folder.

  • When the Balance field is set to Total Usage, the amount entered for the usage event on the Employee Leave Request transaction will be validated against the Minimum Threshold set in the Daily Threshold Amounts/Dispositions section on the LPCT reference page, after accumulating all prior usage for the defined leave year and adding the newly requested leave.

  • When the Balance field is set to N/A the Leave Request validation logic will be not applicable for the particular Leave Category.

Projected Leave Balance Validation

The Projected Leave Balance Validation check box is used to validate the entered leave request amount against the calculated projected leave balance totals on the Leave request (LREQ) transaction.

If this check box is selected, then depending on the drop down value selected in Leave Request Validation field, either an error or a warning message will be issued when the employee’s requested leave balance exceeds the projected leave balance totals.

The Projected Leave Balance Validation cannot be selected if the Leave Request Validation and Balance fields are set to N/A.

Minimum Threshold

Represents the minimum amount that is allowed (during daily balance processing) before an over balance action is required. This amount must be entered in the units specified on the event category (CATG) page for this leave category (for example, hours, days, or weeks). This column is calculated based on the input of the minimum threshold column using the event input amount rules.

Minimum Disposition

The action required if the daily minimum threshold amount has been exceeded.

Maximum Threshold

Represents the maximum amount that is allowed (during daily balance processing) before an over balance action is required. This amount must be entered in the units specified on the event category (CATG) page for this leave category (for example, hours, days, or weeks). This column is calculated based on the input of the maximum threshold column using the event input amount rules.

Maximum Disposition

The action required if the daily maximum threshold amount has been exceeded.

Minimum Threshold

Represents the minimum amount that is allowed during monthly balance checking before an under balance action is required. This amount must be entered in the units specified on the event category (CATG) page for this leave category (for example, hours, days, or weeks). This column is calculated based on the input of the minimum threshold column using the event input amount rules.

Minimum Action

The leave action code that defines the under balance action to be taken when the monthly minimum balance has been exceeded during monthly balance condition checking. Required if the Check Leave Balance on the Pay and Leave Category (CATG) page is Yes; otherwise, leave this field blank.

Maximum Threshold

Represents the maximum amount that is allowed during monthly balance checking before an over balance action is required. This amount must be entered in the units specified on the event category (CATG) page for this leave category (for example, hours, days, or weeks). This column is calculated based on the input of the maximum threshold column using the event input amount rules.

Maximum Disposition

The Leave Action code that defines the over balance action to be taken when the monthly maximum balance has been exceeded during monthly balance condition checking. Required if Check Leave Balance on the Pay and Leave Category (CATG) page is Yes; otherwise, leave this field blank.  

Minimum Threshold

Represents the minimum amount that is allowed during annual balance checking before an under balance action is required. This amount must be entered in the units specified on the Pay and Leave Category (CATG)page for this leave category (for example, hours, days, or weeks). This column is calculated based on the input of the minimum threshold column using the event input amount rules.

Annual thresholds are used in batch processing.

Minimum Action

The leave action code that defines the under balance action to be taken when the annual minimum balance has not been met during annual balance condition checking. Required if the Check Leave Balance on the Pay and Leave Category (CATG) page is Yes; otherwise, leave this field blank.

Minimum Action Precedence

 Represents the processing order of the Annual Minimum Action in relation to the other available actions (Maximum Action Precedence, Roll Action Precedence and Payout Action Precedence). The field is required when the Annual Minimum Action is entered. The entered precedence (First, Second, Third, or Last) must be different than the precedence defined for Maximum Action Precedence, Roll Action Precedence and Payout Action Precedence for the record.

Roll Threshold

Represents the number of leave units that should not be rolled over as part of the year end process. Any hours above the threshold will roll into the next year. The Roll Threshold is required and is utilized with the corresponding Roll Action. If the Roll Threshold value is not entered, it is inferred from the Annual Maximum Threshold.

Roll Action

Represents the action that should occur when the leave balance exceeds the value in the Roll Threshold field. The action must be defined on the Leave Action (LACT) page with a Transfer From Type of Roll From.

Roll Action Precedence

Represents the processing order of the annual Roll Action in relation to the other available actions (Maximum Action Precedence, Minimum Action Precedence and Payout Action Precedence). The field is required when the annual Roll Action is entered. The entered precedence (First, Second, Third, or Last) must be different than the precedence defined for Maximum Action Precedence, Minimum Action Precedence and Payout Action Precedence for the record.

Maximum Threshold

Represents the maximum amount that is allowed during annual balance checking before an over balance action is required. This amount must be entered in the units specified on the Pay and Leave Category (CATG) page for this leave category (for example, hours, days, or weeks). This column is calculated based on the input of the maximum threshold column using the event input amount rules.

Maximum Action

The Leave Action code that defines the over balance action to be taken when the annual maximum balance has been exceeded during annual balance condition checking. Required if Check Leave Balance on the Pay and Leave Category (CATG) page is Yes; otherwise, leave this field blank.

Maximum Action Precedence

Represents the processing order of the Annual Maximum Action in relation to the other available actions (Minimum Action Precedence, Roll Action Precedence and Payout Action Precedence). The field is required when the Annual Maximum Action is entered. The entered precedence (First, Second, Third, or Last) must be different than the precedence defined for Minimum Action Precedence, Roll Action Precedence and Payout Action Precedence for the record.

Payout Threshold

Represents the number of leave units that should not be paid out as part of the year end process. Any hours above the threshold will be paid out to the employee. The Payout Threshold is required and is utilized with the corresponding Payout Action. If the Payout Threshold is not entered, it is inferred from the Annual Maximum Threshold.

Payout Action

Represents the action that should occur when the leave balance exceeds the value in the Payout Threshold field. The action must be defined on the Leave Action (LACT) page with a Transfer From Type of Payout From.

Payout Action Precedence

Represents the processing order of the annual Payout Action in relation to the other available actions Minimum Action Precedence, Roll Action Precedence and Maximum Action Precedence). The field is required when the annual Payout Action is entered. The entered precedence (First, Second, Third, or Last) must be different than the precedence defined for Minimum Action Precedence, Roll Action Precedence and Maximum Action Precedence for the record.

Minimum Usage

This field specifies the minimum leave usage requirement at the Category level. The leave will be paid out only if the employee has met the defined minimum usage requirement and the Site Specific Parameter (SPAR) entry ENFORCE MINIMUM LEAVE USAGE has the Yes/No Flag selected. The Minimum Usage hours is used in Vacation leave payout.

Include in employee/manager role leave balance alert

This check box is used to include or exclude the leave category from displaying the leave alerts for employee and manager roles.

Minimum Threshold

If the Minimum Threshold field is populated and the leave balance is equal to or less than the Minimum Threshold value, then the leave balance for this category will be displayed in Leave Balance Alerts.

Maximum Threshold

If the Maximum Threshold field is populated and the leave balance is equal to or greater than the Maximum Threshold value, then the leave balance for this category will be displayed in) Leave Balance Alerts.
