The Charge Document Type (CH) is a simple Document Type consisting of only a Header Section and an Accounting Detail Section. The document structure lends itself to many different uses. The main use of the document is to record programmatic costs to Cost Accounting budgets for such items as Back End Split Charges, Revenue Credits, and Charges. Other uses include recording the results from the Cost Allocation or Overhead batch processes.
To perform those three tasks and any others that a client may choose for the CH Document Type, there are three delivered HTML views of the Document Type that correspond to three delivered Document Codes. Which one of these is the correct one to use, depends on a client’s needs.
The Charge (CH) document code uses the fCHRG layout. This layout displays all the standard fields for the CH Document Type, with one notable exception: a field for Bank on the Accounting section. For this reason, the Document Code should not record transactions that use cash accounts. The task of recording Back End Split Charges, Revenue Credits, and Charges often falls to this view of the document type.
The Cost Allocation (CA) Document Code uses the fCA layout. This layout displays all the standard fields plus the Bank field. For this reason, the Document Code can record accounting events that use cash. Two of the three outputs from the Cost Allocation process use cash, so this layout is often used for that process, except when the next layout is chosen for its unique quality.
The Cost Allocation Protected (CAP) Document Code uses the fCA2 layout. This layout is the same as the fCA one with one unique feature. When a modification version of the document is created, all of the chart of account fields and the line amount are protected. Use of this layout ensures that the results from a Cost Allocation, or any other use of the document, are not changed later by a user online.
Other uses of the CH Document Type have been made where there was a desire to record accounting activity where no vendor/customer or commodity information was necessary. The delivered layout for the CA Document Code fits this purpose.
