Define Federal Agency Codes

One of the key distinctions to establishing a grant using the cost accounting subsystem is the ability to define the federal agency codes.  The Funding Identification section permits the user to store information provided by a Federal funding source to the organization receiving the grant.   The Funding identification data for a grant may change from one year to another, and therefore this information is stored on the PPC table.  This information can also be stored, for reimbursable cost accounting structures, on the Funding Line of the Funding Profile Select (FPRFLST) table.  Typically, sites should enter this information on the PPC table for a grant and at the Funding Line page when entering in a project because a single project could be associated with multiple funding sources.  

• The type of information captured in the Funding Identification section is:

  Federal Catalog Number – broken into two fields: Federal Catalog Agency and Federal Catalog Suffix.  The Federal Catalog Agency Code must be valid on the Federal Agency table Federal Appropriation Number – federal code that connects the Program Period to a federal appropriation. Letter of Credit No. – When a government entity is given money to spend (for example, a grant), there is a written “Letter of Credit” provided to the entity stating the specifics associated with how the money can be spent.  There is a number tied to this “Letter of Credit” to facilitate tracking. Common Accounting No. - The Common Accounting Number (CAN), or its equivalent, is a short-cut to transcribing a full accounting classification on documents and recording as input to the accounting system and is developed each year by budget, program and accounting staff. The CAN is a uniform length fiscal code for numerous varying length data elements that are associated with an accounting transaction.
