System Assurance 1

The System Assurance 1 chain, or the processing of individual batch jobs, verifies that document updates recorded historically in an input ledger, and journal records not yet ledgerized, and any posting line records not yet journalized match the amounts recorded on matching budget lines.  This assurance checks those amounts directly updated by accounting documents (cash expenditures and collected earned revenue) and not those calculated from such fields (unobligated).

The input ledger into the process has a large impact on performance.  If any Chart of Account (COA) information is retained that is not necessary to match active budget structures, the assurance will have to process more records than necessary.  Similarly, the Real Account Level filed on the Journal Ledger Control (JLCTRL) page should be set to Fund and BSA Levels.  In regards to summarization option other than COA, the only data necessary is Budget Fiscal Year.  Fiscal Year, Accounting Period, and Quarter would be necessary if allotments were done at that level.

In addition to the regular full and incremental runs of this assurance, there is a special run - pre archive.  When the input ledger used for the assurance (as indicated by the selected flag next to the System Assurance 01 field on JLCTRL) is to be archived, the assurance must be run in this special mode to store off ledger amounts on the shadow table (SA_BUD) used by the assurance as permanent records.

For detailed information on the job (such as when to run, input, output, and process parameters) refer to the associated run sheet in the CGI Advantage Financial - System Assurance Run Sheets guide.
